We are seeking an Assistant to the Spa Director to join our fast-paced, patient-centered medical spa team, supporting smooth daily operations and an elevated guest experience.
This role is ideal for someone who is highly organized, warm, and discreet, with a genuine commitment to service and a steady, reassuring presence in a dynamic environment.
As a key administrative and operational partner to the Spa Director, you will help coordinate schedules, streamline communication, and support both front-of-house and back-of-house activities. You will contribute directly to the consistency, efficiency, and professionalism of the practice, ensuring that patients, staff, and leadership all feel informed and supported.
Key Responsabilities
- • Assist the Spa Director with day-to-day operations, including appointment flow, staffing updates, and coordination of services across the team.
- • Support scheduling needs such as staff calendars, meeting coordination, and follow-up on action items from team meetings.
- • Help track key metrics and goals (for example, utilization, sales performance, and patient satisfaction) and prepare simple summaries or reports as requested.
- • Serve as a clear, professional point of contact for internal questions from staff, helping to relay information and reinforce policies and procedures.
- • Assist with client communications when needed, including follow-up calls, email outreach, and support in resolving non-clinical concerns with empathy and discretion.
- • Help with basic administrative tasks such as document organization, inventory check-ins, as directed by the Spa Director.
- • Contribute to maintaining a clean, organized, and professional environment, aligning facility standards with the brand's expectations.
What We Are Looking For?
- • A detail-oriented, reliable professional with prior experience in an administrative, coordination, or front-office role; experience in a spa, medical spa, or healthcare setting is preferred.
- • A sales-minded, patient-centered professional who is comfortable discussing pricing, packages, sales and memberships in a clear, reassuring way.
- • Proven ability to meet or exceed sales or performance goals in a client-facing personal services, hospitality, or retail environment.
- • Strong organizational and time-management skills, with the ability to prioritize and follow through in a fast-paced, multi-tasking environment.
- • Clear, professional communication skills, both written and verbal, and comfort interacting with staff at all levels and with clients when needed.
- • A calm, respectful demeanor, with discretion around confidential information and a consistent focus on patient-centered service.
- • Confidence using scheduling systems and basic office software, with a willingness to learn new tools and processes.
- • A team-oriented mindset, openness to feedback, and readiness to support the Spa Director’s vision and priorities.
